Dispatch · HOS · Accounting

It all starts with a verified fleet record.

Vaultnex keeps your dispatch, hours-of-service, and books in one record that stays current — not a folder you update once and forget.

Every fleet has a compliance standard.

The challenge isn't setting it. It's keeping it current.

Hours drift daily

A driver's clock changes by the hour. A record checked once a week is already out of date.

🗂

Filings pile up

Fuel tax and IFTA paperwork left for quarter-end turns into a scramble instead of a routine.

Standards need enforcement

A dispatch and compliance standard only holds if someone is actually watching it every day.

Our Approach

A fleet record changes how compliance gets verified.

Most fleets treat dispatch, HOS, and accounting as three separate folders — checked at three different times, by three different people, on three different schedules.

Vaultnex keeps them as one continuously updated record, with a direct line to the person watching each piece.

What We Run

One team. Three direct lines.

No ticket queue — each part of your record has one person behind it.

Dispatch

Loads booked, confirmed, tracked.

Matthew matches loads to your lanes, books them, and sends rate confirmations directly — so trucks stay loaded without a driver waiting on a callback.

HOS Monitoring

A clock watched before it runs out.

Rachel's desk tracks every driver's hours continuously and flags a problem early — an alert before a violation, not a citation after one.

Accounting & IFTA

Books closed, filings on time.

Andrew tracks fuel tax by jurisdiction all quarter and files IFTA on time, then closes a P&L every month — nothing assembled by you at the last minute.

Questions

Before you reach out

What does a "fleet record" actually mean?+

It's the single place your dispatch activity, HOS status, and accounting standing live together — updated continuously instead of checked once and filed away.

Do you supply the ELD device?+

No — Vaultnex layers dispatch, HOS monitoring, and accounting on top of whatever compliant ELD your trucks already run.

What happens when a driver is close to a violation?+

Rachel's team alerts you and the driver ahead of time, with the next available reset window — handled before it ever reaches a scale house.

Is there a minimum fleet size?+

No. We work with single-truck owner-operators up through fleets of a hundred-plus — every engagement is scoped to you, not a fixed tier.

Can I start with accounting only?+

Yes — email Andrew directly and he'll scope an accounting-only engagement, separate from the full fleet record.
